The Role
Working under the direction of the Head of Operations the Event Manager will be responsible for the smooth operation of over 450 events a year (courses, conferences, webinars), as in-school provision work or in selected venues. The size of the events can range from c 15 teachers on a teacher course to over 500 students on a student revision conference.
The role is office-based and does not involve on-the-day delivery (e.g. ‘meeting and greeting’) so excellent communication skills and experience in achieving a high standard of operational functionality while working remotely is essential. Occasionally there will be opportunities to attend events with the Head of Operations to audit and ensure standards on-site.
Duties include:
- Working under the direction of the Head of Operations to determine the viability to run events and the administration involved in such
- Managing relationships with schools and external suppliers including booking event venues from a list of pre-agreed hotels/conference venues, ordering AV and equipment, ordering print and couriers
- Liaising with over 350 Course Leaders, issuing speaker packs, establishing delivery requirements, confirming final details of event dates and requesting/collating presentation materials
- Briefing Course Managers responsible for all ‘on-the-day’ delivery at external venues including establishing a rota of availability, allocating events, briefing on all logistics and set up pre-event and post-event reporting
- Preparing course notes for print in accordance with the Keynote brand and standards, working with marketing to promote on-sell opportunities and ensuring timely delivery at venue/end destination
- Full pre- and post- event delegate management including processing bookings, responding to enquiries, issuing confirmation of bookings, updating course status, invoicing and joining instructions
- Ensuring excellent customer service, collating and filing delegate and Course Leader feedback for review by the wider Keynote Team
- Supporting management information reporting by updating and ensuring the accuracy of the teacher course, student conference and in-school spreadsheets and Symphony database
- Ordering stationery for event activities
- The post-holder will also be expected to complete general administration work to support organisational procedures
Qualifications
- Degree in a relevant discipline or demonstrate a successful track record in the delivery of high profile events
Background and experience
- A minimum of 2 years’ direct experience of multiple event organisation for clients
- Demonstrate a successful track record of delivering targets within agreed timescales and budgets with commercial acumen
- CRM, computer systems, AV and software experience
- Competent in Microsoft Word, Excel, Dropbox and adeptness at learning new computer packages
Knowledge
- Understanding of what constitutes a well organised, high quality event
- Social media marketing skills to assist in the promotion of products and services
- Importance of CPD, training and professional development in the workforce
Skills and competencies
- Be a confident communicator, comfortable operating at all levels at the right standard for working in a professional education company, in both written and verbal forms
- Strong organisation and time management skills with an ability to work to strict deadlines
- Ability to work efficiently and accurately, with meticulous attention to detail
- A willingness and ability to work flexibly and also as part of a team
- Have a positive ‘can-do’ attitude
- Desire to contribute effectively to continue success/development of Keynote and its quality and CRM systems
Desirable but not Essential – an interest in secondary education, or in professional training/development
